Kultura Pilipinas Executive Staff Duties and Responsibilities

The executive staff is responsible for planning and implementing the activities of KP. Being a staff member will not only develop your leadership skills, but will also allow you to work behind the scenes with intelligent and loving people. Each staff member will hold a position that will utilize their individual talents to complement and contribute to a team effort.

 

General expectations of the staff are as follows:

  • Be punctual, professional and passionate.

  • Represent KP and the University of Oregon positively.

  • Take turns facilitating and planning weekly general meetings.

  • Hold weekly office hours two hours a week doing the following:

  • Completing duties under your position.

  • Interact and build relationships with general members and other MCC student organizations.

  • Be prepared to provide information to outsiders inquiring about KP.

  • Work together decisively and punctually to have a plan of action for all big events throughout the year:

    • Northwest Filipino American Student Alliance (NWFASA)  Conference

    • Fiesta for Change

    • Pilipino Culture Night (PCN)

  • Attend all meetings (listed below). Otherwise inform Co-Directors if you cannot attend within 24 hours of a meeting. Unexcused absences will not be tolerated by Co-Directors.

    • Executive board meetings

    • Weekly Meetings

    • Senate hearings

    • Fundraisers

  • Attend the New Staff Orientation to learn more about their positions from previous staff members.

  • Respect and abide by Community Guidelines contract signed  by each executive board member at the beginning of the year.

 

 

More specific duties as assigned to each position are listed below:

Co-Directors (2):

  • Duties of each Co-Director shall be determined by each pair during their transition. External and internal duties will be divided or shared depending on the elected pair.

  • To act as the primary representatives of KP in public relations

  • Attend MCC Board of Directors Meetings.

  • Attend Philippine American Association (PAA) of Lane County meetings.

  • To coordinate, mediate, and facilitate meetings and activities between the officers of the exec.

  • To delegate responsibilities to the officers of the exec and to supervise the implementation of these responsibilities. Assign goals and deadlines for the board as they see fit.

  • To ensure that all KP activities, actions, events, and programming adhere to the rules and regulations set forth by the Associated Students of the University of Oregon (ASUO).

  • Co-directors will each have a copy of the office key and will have scheduling and signing privileges through the ASUO on behalf of KP. Each co-director is responsible for their own key and will be held accountable in the event that the ASUO scheduling office fines KP for the replacement of the key.

  • Co-directors are responsible for the signing of stipends, providing necessary information to the rest of the executive board and reserving large venues, hotel rooms, vans etc.

  • Co-directors are required to hold a minimum total of two (2) office hours per school week.

  • Recruit interns for Kultura Pilipinas.

  • Take attendance at every general meeting.

  • To coordinate and maintain an appropriate office environment for general members and exec for both social and business purposes.

 

Public Relations Coordinator (2)

  • Duties of each Public Relations coordinator shall be determined by each pair during their transition. External and internal duties will be divided or shared depending on the elected pair.

  • To write up official media statements if needed.

  • To check mail and e-mail within the ASUO.

  • Public Relations Coordinator to hold a minimum total of two (2) office hours per school week.

  • Attend NWFASA meetings in person or online and report updates to the executive board. Maintain and update all social media sites of KP with upcoming events and promotions such as OrgSync, Facebook, Twitter and Instagram.

  • Providing and implementing ideas for social and community-building events for the general membership.

  • To coordinate and maintain an appropriate office environment for general members and exec for both social and business purposes.
 

Finance Coordinator (1):

  • Finance Coordinator will have signing power for KP along with Co-Director and Media Coordinator.

  • To keep an open, accurate, and up-to-date account of the allocated budget.

  • To plan and implement fundraising ideas throughout the year.

  • To give financial reports to exec and general members when requested.

  • To submit KP’s budget proposal for the following year.

  • To keep track of all receipts, P.O.’s, and accounts to make sure there are sufficient funds to cover all events.

  • Finance Coordinator to hold a minimum total of two (2) office hours per school week.

  • Schedule dates and times and book rooms for all KP events and fundraisers.

  • Attend all ASUO Program Finance Committee (PFC) meetings.

  • To coordinate and maintain an appropriate office environment for general members and exec for both social and business purposes.

 

Media Coordinator (1)

  • To attend and document KP events through photos and video.

  • To create all promotional material (flyers, posters, logos, etc.) for events and workshops.

  • To keep a record of issues and events relevant to KP that occur on campus, in the community, or in society in general.

  • To create KP Highlights video to show at the Northwest Filipino American Student Alliance Conference.

  • To coordinate and maintain an appropriate office environment for general members and exec for both social and business purposes.

 

Junior Executives (amount to be determined)

  • To come up with ice-breaker activities for general meetings.

  • To shadow a different exec for Fall and Winter term, including attending their office hours, in order to learn about their duties.

  • To organize Fiesta for Change.

  • To coordinate and maintain an appropriate office environment for general members and exec for both social and business purposes.
